TICS Privacy Policy
Last updated: 30 September 2026. This policy explains how TICS LLC (“TICS”, “we”) collects, uses, shares, keeps and protects personal information on tics-llc.com, in the TICS app at app.tics-llc.com, and when you contact us.
- We collect what we need to run TICS, answer your questions and bill customers. We don't sell personal information, show ads, or use tracking or analytics tools.
- The information a business puts into TICS belongs to that business. We look after it for them, as the Subscription Agreement says.
- When a customer leaves, their data can be exported for 30 days and is then deleted from the live service. It's deleted 90 days after the subscription ends.

1. What we collect
When you visit tics-llc.com
We don't use analytics, advertising or tracking cookies, and our website sets no cookies. Our pages load fonts from Google Fonts, and most pages load an animation library from jsDelivr. When your browser fetches those files, those services receive your IP address and basic browser information, under their own privacy policies. Our hosting provider keeps standard technical logs, such as IP addresses and the pages requested, to keep the site running and secure.
When you contact us
If you use the Talk to Us form or email us (info@, sales@ or legal@tics-llc.com), we collect your name, email address, company, phone number if you give it, and your message. We use them to reply and to follow up with you about TICS, and we keep them in our own sales records.
When your business signs up and uses TICS
- Account details: the company's name and details, the names and email addresses of its users, their roles, and passwords, which we store only in a scrambled (hashed) form. If a user turns on two-factor sign-in, we keep what's needed to check the codes.
- Billing: payments go through Stripe. We never see or store full card numbers. We keep the subscription, plan and invoice details we need for billing, tax and our accounts.
- Customer Data: what the business and its users put into TICS, such as items, suppliers, orders, documents, messages and accounting records. This can include people's names and contact details, for example a supplier's contact. We process it only for that business, as its service provider.
- A connected Microsoft 365 mailbox: only if the business chooses to connect one for receipts. TICS reads it to find receipts and invoices, and keeps only the receipts and invoices the business keeps. Disconnecting stops access.
- Security and activity records: sign-in times and IP addresses (to stop password guessing), and an audit trail of important actions, recording who did what and when. The audit trail can't be edited or erased, by design, so it can't be tampered with.
- Feedback: anything a user sends us through the Feedback page.
2. How we use it
- To provide, secure, support and improve TICS.
- To bill customers, and to keep the records the law requires, such as tax and accounting records.
- To reply to enquiries and follow up about TICS.
- To detect and deal with misuse, security problems and faults.
We don't sell personal information, we don't use it for advertising, and we don't use Customer Data to train AI models.
3. Who we share it with
Only these service providers, and only as needed to run TICS:

When it's on, it receives the company name, location and website, and the answers typed into the setup questions. It never receives passwords or payment details. |

We'll tell customers before adding a provider that processes Customer Data. We may also disclose information when the law requires it, to protect people's safety or our rights, or as part of selling or merging our business, in which case this policy continues to apply.
4. How long we keep it
- Customer Data and user accounts: for as long as the business subscribes. After the subscription ends, the business can export its data for 30 days. TICS then deletes the business's data from the live service automatically, 90 days after the subscription ended. Our hosting provider's short-term database backups are overwritten within about 7 days after that.
- Records we must keep: billing, payment and tax records (held by us and by Stripe), and the tamper-proof audit trail, are kept after an account is deleted, for as long as needed for legal, tax and security reasons.
- Enquiries and sales conversations: until you ask us to delete them.
5. How we protect it
Encrypted connections (HTTPS), each business's data kept separate, scrambled passwords, two-factor sign-in, role-based access, an audit trail and durable, backed-up storage. No system is perfectly secure. If a breach affects your information, we'll tell the affected business without undue delay, within 72 hours where we can, and notify individuals and authorities as the law requires.
6. Your choices and rights
- Enquiries and our emails: ask us to see, correct or delete what we hold about you, or to stop contacting you, at legal@tics-llc.com. Every marketing email we send has a way to opt out.
- If you're a user of a business that uses TICS: that business controls its data. Ask its Company Admin first. We'll help them with your request.
- We'll answer requests within 30 days, and may need to confirm who you are first.
7. Children
TICS is a tool for businesses and isn't meant for anyone under 16. We don't knowingly collect children's information.
8. Changes to this policy
We'll post any update here with a new date. If a change materially affects how we handle customers' information, we'll tell customers by email or in TICS before it applies.
